Retirement invitations are trickier than they look. You are marking the end of a career in front of people who knew a fraction of it — colleagues who never met the family, family who never saw the work — and the wording has to make everyone feel like they belong there.
Name the years. It is the detail everyone came for.
What to include
- Who is retiring — and their role, if colleagues are invited
- Years of service — “after 32 years” does more emotional work than any adjective
- Who is hosting — the company, the team, or the family
- Date, time, venue
- Whether partners are invited — the most common question on office invitations
- Card, gift, or speech logistics — including who is collecting

Office send-off wording
Office invitations need two things the others do not: clarity about whether this is work time, and clarity about partners.
Drinks to mark [NAME]’s retirement
After [NUMBER] years with [COMPANY] — and [NUMBER] of them running [TEAM] —
[NAME] is off.
[DAY], [DATE] · 5:30pm onwards
[VENUE]
Partners very welcome. First round is on the team.
Let [ORGANISER] know by [RSVP DATE].
If it is during work hours, say so plainly — “3pm, in the main meeting room, tea and far too much cake” — so people know they do not need to book time off.
Family and friends wording
Dad is retiring.
After [NUMBER] years of early starts, we’re throwing him a proper lunch.
[DAY], [DATE] · [TIME] · [VENUE]
No speeches unless you want to give one. RSVP to [CONTACT].
Surprise party wording
Surprise wording has one job above all others, and it should be impossible to miss. Put it first, not last, and repeat it at the end.
🤫 It’s a surprise!
We’re throwing [NAME] a surprise retirement party after [NUMBER] years at [COMPANY].
[DAY], [DATE] · please arrive by [TIME] — [NAME] arrives at [TIME].
[VENUE]
Please don’t mention it to [NAME], and don’t reply to this on any group [THEY] are in. RSVP to [ORGANISER] directly.
That last line matters more than the emoji. Most surprises are spoiled by a reply-all, not by a slip of the tongue.
Wording a card or gift collection
Colleagues almost always want to contribute to something, but nobody wants to feel billed. Keep it to one line, name the organiser, and never name an amount:
- “[ORGANISER] is collecting for a leaving gift — find [THEM] if you’d like to add something.”
- “There’s a card going round the office this week.”
- “In place of gifts, we’re collecting notes and photographs for an album — send yours to [EMAIL].”
That last one is worth considering seriously. A book of notes from thirty years of colleagues is the gift people actually keep.
If the retiree hates a fuss
Plenty of people genuinely do not want a party. If you are going ahead anyway, the wording should lower the temperature rather than raise it:
[NAME] has been very clear that [THEY] wants no fuss.
So this is not a fuss. It is a drink, at [VENUE], on [DAY] at [TIME],
for anyone who wants to say thank you before [THEY] go.
No speeches. No slideshow. Probably one toast.
When to send
Three to four weeks ahead for an evening event; two is enough for after-work drinks. If colleagues are travelling from other offices, six weeks. Send before the retirement date, not after — momentum drops sharply once someone has actually left.
