Most invitations get the party right and the RSVP wrong. The line is an afterthought, the deadline is vague, and then the host spends the following fortnight texting people individually.
A good RSVP line names a date, a method, and one reason it matters.
What RSVP actually means
It is short for répondez s’il vous plaît — “please reply.” Which means “please RSVP” is technically “please please reply,” and also that an RSVP is owed whether the answer is yes or no. A great many guests believe silence means no. It does not, and saying so gently on the invitation helps.
The basic pattern
Three components, in this order:
- The ask — “RSVP,” “Please reply,” “Let us know”
- The deadline — an actual date, never “as soon as possible”
- The method — a link, a number, a name
RSVP by [DATE] at [LINK]
That is sufficient. Everything below is a variation for a particular tone or situation.
Formal
Kindly reply by the [DATE] of [MONTH]
The favour of a reply is requested by [DATE]
Kindly respond on or before [DATE]
[CONTACT DETAILS]
“The favour of a reply” is the traditional formal phrasing. Note it is a favour, singular, and traditionally spelled without the “u” on American stationery.
Warm
Please let us know by [DATE] — we hope you can make it.
Reply by [DATE] so we can plan the food. Either way is fine, we just need to know.
That second one is the most effective RSVP line on this page. “Either way is fine” removes the small social cost of declining, which is the reason most people go quiet rather than say no.
Casual
Let me know by [DATE]!
Tap yes or no by [DATE] — takes five seconds.
RSVP by [DATE]. Yes, no, or maybe — all useful.
“Regrets only”
Regrets only means guests reply only if they cannot come, and you assume everyone else is attending. It suits large, low-cost, drop-in events — an open house, an office party — and is a poor fit for anything catered or seated.
Regrets only to [CONTACT] by [DATE]
No need to reply unless you can’t make it — just let [NAME] know by [DATE].
Be warned: regrets-only routinely overestimates attendance by a wide margin. Use it when over-catering is cheap and under-catering is not a disaster.
When you need extra information
Ask for it in the same breath as the RSVP, not in a follow-up. Every additional round of messaging loses people.
RSVP by [DATE] — and tell us about any dietary needs when you do.
Reply by [DATE] with the number coming, including little ones.
Let us know by [DATE] whether you’ll need parking.
Setting a deadline people actually meet
- Give a real date, never “ASAP.” An open-ended request has no moment at which it becomes urgent, so it never does.
- Set it earlier than you need. Caterers and venues usually want numbers a week out; ask guests for two weeks out and the late repliers still land in time.
- Pick a weekday. Deadlines that fall on a Saturday get forgotten on the Friday.
- Say what it unlocks. “so we can confirm with the restaurant” converts far better than a bare date — people reply for reasons, not for dates.
Reminder wording
Assume you will need one. Roughly a third of guests reply only after a nudge, and that is normal rather than rude. Send it three to four days after the deadline, keep it short, and make declining easy.
Quick nudge — we’re finalising numbers for [EVENT] on [DATE].
If you can make it, reply here. If you can’t, no problem at all — just let us know so we can plan.
Still hoping to see you at [EVENT]! We need final numbers by [NEW DATE].

Do not apologise for asking, and do not send more than two reminders. After the second, treat silence as a no and move on — chasing further costs you more goodwill than the headcount is worth.
Why digital RSVPs get better response rates
A paper RSVP asks someone to find a pen, find a stamp, and remember to post it. A link asks them to tap twice. The gap in response rate is not subtle, and it widens the younger your guest list is.
